AI-assisted qualitative research your department can stand behind

QualIntel OS gives postgraduate and PhD researchers the speed of AI without sacrificing the defensibility examiners require. This page covers what departments ask about most: licensing, data governance, and what adoption actually looks like.

Why departments adopt it

The pressure your researchers face is no longer whether to use AI — it is how to use it in a way a supervisor, examiner, or ethics committee will accept. QualIntel OS is built around that constraint: the AI surfaces candidate evidence, the researcher confirms every decision, and the platform produces an examiner-ready audit trail and AI disclosure statement automatically.

For a department, that means students submit work with a clear, traceable methodology rather than an undocumented "I used AI" — reducing the integrity risk that unmanaged AI use introduces. See the Supervisor & Examiner Trust Pack for exactly what the platform does and does not do.

Licensing for institutions

Beyond individual researcher subscriptions, QualIntel OS offers managed licensing so a department can provide access to a cohort of students, supervisors, and researchers under a single, centrally administered plan.

  • Centrally managed access for a defined group of researchers
  • A single institutional agreement rather than individual sign-ups
  • Onboarding support for supervisors and student cohorts
  • Pricing scaled to your researcher population — arranged directly, not published

Data governance & security

Stated plainly, so your InfoSec and ethics teams can assess it accurately. We do not overstate our posture.

  • Data ownership: Your research data is yours. We do not train AI models on it, and it is not retained after you delete it.
  • Encryption: Data is encrypted in transit and at rest.
  • Infrastructure: The application is hosted on Railway (United States); vector search runs on Qdrant (United States). We disclose our subprocessors rather than obscure them.
  • Data protection: GDPR-aligned, with rights to erasure and data portability. EU/UK transfer safeguards are available via our Data Processing Agreement.
  • Audit trail: Every AI suggestion accepted or rejected is timestamped and attributed to the researcher — the same log that supports academic defensibility also supports data accountability.
  • Certifications: SOC 2 Type II is on our roadmap. In the meantime we are happy to complete your institution's security questionnaire and provide our DPA for review.

What adoption looks like

The lowest-risk path is a small pilot: one supervisor and a handful of postgraduate researchers using QualIntel OS on live projects for a term. That lets your department evaluate the workflow and the output quality against your own standards before any wider commitment — no speculative rollout required.

Single sign-on and cohort provisioning can be arranged as part of an institutional agreement; we build the specific integration to your environment once a pilot is confirmed, rather than assuming it in advance.
